WHEN THE OFFICE CLOSES
After-hours answering service for contractors.
The workday ends. Service requests keep coming. OpenCalls gives HVAC, plumbing, and electrical callers a place to explain what they need—and gives your team the details for its next step.
AI call answering, configured around your hours. Service requests are not confirmed appointments or guaranteed dispatches.
CLOSED OFFICE. CLEAR EXPECTATIONS.
Answer tonight.
Know what needs attention next.
A homeowner may call about an AC that stopped cooling after dinner, a water heater problem on a weekend, or an electrical estimate after getting home from work. Each needs a different follow-up; none should be promised a visit your team cannot provide.
OpenCalls identifies itself as AI, explains approved business information, and captures the request. You decide what callers hear about callback windows, next-day follow-up, and urgent requests.
OpenCalls is operated by GardinDS LLC in Arizona. Our initial focus is service businesses in the Phoenix metro; your actual service area is set in your business instructions.
YOUR AFTER-HOURS INTAKE
The details your team needs.
- Caller name and callback number.
- Service address and location within your service area.
- Requested service and the caller’s description of the issue.
- Preferred callback time or service time, recorded as a request.
- Relevant access information and any urgency the caller reports.
Choose the questions and summary delivery process during setup. Avoid asking for information your team does not need.
ILLUSTRATIVE CALL • NOT A CUSTOMER RECORD
A useful conversation after closing.
Caller: “Our AC stopped cooling. We’re in Mesa. Can someone call tomorrow morning?”
AI receptionist: “I’m the AI receptionist. I can take your request for the team. What’s your name, callback number, and service address?”
Caller: “Jordan. I’ll give you those details. A morning callback works.”
The greeting and response are illustrative. Your approved instructions determine what the receptionist actually says.
KEEP YOUR BUSINESS NUMBER
Set the hours.
Test the handoff.
Where your phone provider supports it, call forwarding lets customers continue dialing your existing number. Schedule forwarding after office hours, or use another supported routing arrangement agreed during setup.
- Define weekday hours, weekends, holidays, and who can update them.
- Approve the greeting, intake, callback expectations, and escalation contacts.
- Test a closed-office call and the return to normal daytime answering.
- Assign someone to review requests when the team is available.
Confirm provider forwarding charges, voicemail order, summary delivery, and routing fallback before launch. The exact phone-system setup is checked with you.
CLEAR LIMITS
Coverage is not an emergency response.
OpenCalls collects information and follows configured instructions. It does not diagnose HVAC, plumbing, or electrical problems, provide safety advice, or guarantee a technician’s arrival.
Any routing, transfer, or on-call workflow must be confirmed and tested for your configuration. Have a fallback for unavailable contacts and service interruptions. Your team remains responsible for dispatch, technical decisions, and follow-up.
For calls during a busy workday, use overflow coverage alongside your team.
PLAN FOR YOUR CALL LOAD
Monthly plans from $297.
Essential includes up to 600 Service Minutes per monthly billing cycle. Professional is $397 with 1,200; Advanced is $797 with 3,200. Prices are plus applicable taxes, subject to a different signed Order.
Choose based on expected billable call time, including peak periods. Unused minutes do not roll over; service can be limited at the allowance. Confirm your usage plan before forwarding live calls.
PREPARE FOR YOUR DEMO
Bring your closing-time rules.
Bring your phone provider, office hours, service area, common evening requests, and the follow-up process you can actually deliver. We can walk through whether OpenCalls fits those calls.
Before you switch on after-hours coverage.
Can we use OpenCalls only outside office hours?
Yes. After-hours coverage is one arrangement. The schedule and forwarding method depend on your phone provider and the setup confirmed with you.
Can it tell a caller when a technician will arrive?
Only information and capabilities approved for your setup should be communicated. Capturing a preferred time does not reserve an appointment. Do not promise arrival or dispatch that your team has not confirmed.
What happens with urgent requests?
Agree on the information to collect and the escalation process before launch. Test unavailable contacts and failures. OpenCalls is not an emergency service, and AI can misunderstand or omit details.
How do we get the messages?
Confirm the summary destination, notifications, delivery timing, and backup process in your demo and setup. Do not assume a particular CRM, text-message workflow, or calendar integration is included.
