THE DETAILS THAT MATTER
A service request.
A clearer next step.
A caller might need help with an AC that stopped cooling, a heating issue, routine maintenance, or a replacement estimate. We configure OpenCalls to ask the questions your business needs answered.
You choose what to ask. Your team decides what happens next.
- 01Who is calling and how can your team reach them?
- 02Where is service needed?
- 03What problem are they experiencing?
- 04What service are they requesting?
- 05When would they prefer a callback or visit?
Configured around your business during setup.
YOUR BUSINESS. YOUR CALL.
Cover the calls your team can’t take.
Use OpenCalls for after-hours calls, overflow during busy periods, or broader call coverage. Keep your existing business number through call forwarding where supported by your phone provider.
After hours
When the workday wraps up.
Overflow
When your team’s hands are full.
All day, every day
Coverage built around your business.
Give callers answers you’ve approved.
OpenCalls can answer common questions using your business information, including your hours, service area, services, and next steps. It can collect appointment requests and preferred times. Direct booking depends on your scheduling setup and the capabilities confirmed before launch.
Set clear rules for urgent requests.
We agree on call-handling and escalation instructions during setup. OpenCalls follows the configured process and captures information for your team. It does not diagnose equipment problems, provide emergency services, or guarantee a technician’s arrival.

A CALL FLOW FOR YOUR TRADE
Handle the request in front of you.
A no-cooling call during a Phoenix-area hot spell is different from a maintenance request or a replacement estimate. Your intake should distinguish the requested service, property location, and caller preference without pretending to diagnose the system. Busy installation days and overlapping repair inquiries are useful scenarios to test.
Questions to configure.
- Is this repair, maintenance, or an estimate request?
- Where is the system located, and is the address in your service area?
- What does the caller say the system is doing?
- What callback time works, and is there relevant access information?
Use only the questions relevant to your services. Your team reviews the summary and makes the service decision.
ILLUSTRATIVE CONVERSATION & SUMMARY
AI receptionist: “I’m the AI receptionist. I can collect your AC service request for the team. What’s your name, callback number, and service address?”
Example resulting summary: Jordan requests AC repair in Mesa, reports that the system is not cooling, and prefers a callback tomorrow morning. Contact and address details collected. Team review required; no appointment or arrival time confirmed.
Fictional example only. The actual greeting and details depend on your approved configuration.
COVERAGE THAT FITS YOUR DAY
Keep your number. Choose when backup answers.
Use after-hours answering when the office is closed or overflow answering alongside your existing team. Where your phone provider supports it, forwarding keeps customers calling your current business number.
Confirm the ring interval, busy/no-answer behavior, voicemail order, provider charges, and how to pause forwarding. Test an ordinary inquiry, an urgent request, and an unavailable follow-up contact before live calls.
MONTHLY PLANS
From $297 per month.
Essential includes up to 600 Service Minutes; Professional is $397 for 1,200; Advanced is $797 for 3,200, plus applicable taxes, unless a signed Order differs. Unused minutes do not roll over. Usage limits and measurement rules apply.
Can it diagnose an AC problem or quote a replacement?
No. OpenCalls can collect the caller’s description and provide approved general business information. Diagnosis, equipment recommendations, estimates, and dispatch decisions stay with your qualified team.
How will our team receive the details?
Confirm summary delivery, notification destinations, and any transfer or scheduling capability during your demo. Do not assume a specific CRM or calendar integration. Assign someone to review requests and follow up.
Can OpenCalls answer calls when the office is closed?
Yes. After-hours coverage is one of the available arrangements. We configure the hours and instructions with you.
Can it book a service appointment?
It can collect a service request and preferred time. Direct scheduling is confirmed separately based on your setup.
Will callers know it’s AI?
Yes. The greeting identifies the receptionist as AI.
